Asset inventory
Our flexible approach enables us to assess our customers' requirements on a case-by-case basis and thus provide an accurate and fair cost prior to a project being undertaken.
In order to provide this assessment, Ethical IT Recycling will request an asset inventory detailing approximate specification and quantities of equipment to be retired. From this list and through our extensive broker channel, we will advise as to whether there is any residual value in the equipment, which will be used to offset associated retirement costs.
In the event that there is little or no residual value, Ethical IT Recycling will simply raise an invoice for the difference and subject to the customer's authorisation, complete the disposal.
Ethical IT Recycling recognises that in many cases IT departments do not have the time or resource to carry out an inventory of equipment. In these instances Ethical IT Recycling can attend site and carry out this inventory on our customers' behalf.
Retirement process
Once returned to Ethical IT Recycling, all items of equipment (excluding minor peripherals) are bar-coded and allocated a unique Ethical IT Recycling reference number for future asset tracking. Equipment is then visually inspected and categorised for either disposal or remarketing. Equipment allocated for remarketing is then subjected to a functionality test and graded depending on condition.
A comprehensive asset report is then produced, providing the customer with a future audit trail. This report is then forwarded to the customer by e-mail and also in hard copy format.
All hard drives are either shredded or data-erased with all company references and security markings removed from equipment. In the event that security markings cannot be removed, equipment will automatically be forwarded for disposal.
Asset report
Ethical IT Recycling produces a comprehensive asset report for every collection carried out. Every item of equipment with the exception of minor peripherals is logged into the asset report. Completed asset reports are forwarded to the customer in both electronic and hard copy format and copies are retained indefinitely by Ethical IT Recycling.
A typical asset report will include the following information as a minimum, although additional information can be added if required.
- Make, model and specification of each item of equipment
- Unique Ethical IT Recycling barcode asset number for each item of equipment
- Equipment condition (Grade)
- Customer asset number if applicable
- Equipment serial number
- Data erase certification for individual hard drives
- Confirmation of resale or disposal
- Additional comments
- Collection summary
